Fleet managers should have moved licence checking online by now, says Licence Bureau

Licence checking company Licence Bureau has suggested fleet managers should have started to move licence checking online ahead of the abolishment of the paper licence counterpart on 8 June.

The firm said moving the licence checking online will avoid issues such as licence renewal, endorsements or verifications of licenses.

It said that fleets could be using considerable resources to catch up if they leave the changeover too late. Fleets can upload their fleet data onto the DVLA's web portal, which allows data to be shown in real-time, alerting a manager to any risk management issues.

Performing licence checks require employee consent to access personal data. Employees can give this through the View Driving Licence and Share Driving Licence services on the DVLA's website.

"Despite the abolition of the paper counterpart not coming into force until June 8th, we would advise fleets to move their records online immediately. This is especially important for larger fleets, who want to avoid any administrative delays in order to hit the ground running," said Malcolm Maycock, managing director of Licence Bureau.

Last month, the DVLA produced a toolkit aimed at helping fleets to prepare for the upcoming abolishment of the photocard licence counterpart from 8 June.

The communications toolkit includes banner adverts, briefing packs, leaflets, posters and a video designed to help raise awareness of the changes.

How to join the DVLA fleet schem

Fleets wanting to join the DVLA's fleet scheme can do so for free but need to have more than 50 vehicles in their fleet.

Fleets must provide a formal written request to join the DVLA fleet scheme along with the V5C's of all their vehicles to be included in the scheme.

Once fleets have provided details of their fleet of vehicles to the DVLA, the organisation allocates a fleet number, which is a unique identifier for use with a company's address.

The fleet number is added to all V5Cs of vehicles within that company's fleet. DVLA maintain the fleet list to make sure name, address and contact details are up to date.
