White paper highlights need for improving fleet buying processes

Date: 21 May 2014

An urgent need to improve fleet buying processes has been highlighted as a major issue for UK firms in the Fleet Industry Advisory Group's (FIAG) first white paper.

The organisation's Perfect Purchasing publication has raised concerns over some companies' approach to sourcing commercial vehicles.

FIAG's paper has been created with extensive consultation with experienced fleet managers, who offered feedback on efficiency measures that firms could consider when assessing their transport requirements.

Geoffrey Bray, chairman of the recently created advisory body, explained there were a number of measures that companies could engage with to improve on purchasing strategy.

He believed that focusing on building a strong rapport with suppliers remained of vital importance, which is a core theme of its launch event today (May 21), at the GTG Training Academy in Wolverhampton.

Mr Bray said: "Too often the purchasing process conducted via a tendering exercise can be totally inappropriate, ineffective and almost a charade.

"However, when undertaken carefully and involving all key stakeholders in the tendering process, it becomes the cornerstone of the subsequent contract that will define the long-term efficiency and effectiveness of the fleet operation.

"Indeed, partnering efficiently with a range of fleet suppliers is the secret to keeping operating costs in check, while continuing to drive through efficiencies that will make the business as a whole function more effectively.

"The key to a successful fleet purchasing process is to define what is required, commercially and functionally, from potential suppliers while ensuring that very best value for money is obtained."

He added that establishing a clear buying strategy was essential to ensuring that companies gained the most out of their fleet deals.

This was especially the case in terms of preparing purchasing tendering documents with suppliers. The FIAG white paper is available at www.fiag.co.uk
